Improving Your Consultation Experience

Thorpe Road Surgery is committed to providing safe, high-quality care while making the best use of technology to support our patients and clinicians. We are pleased to inform patients that our clinicians may use a new clinical documentation tool called Heidi Health AI Scribe during consultations.

What is Heidi Health AI Scribe?

Heidi Health AI Scribe is an artificial intelligence (AI) tool designed to assist clinicians by automatically generating clinical notes from conversations that take place during patient consultations. The tool listens to the consultation and creates a draft summary for the clinician to review.

Importantly, Heidi Health does not make clinical decisions, provide diagnoses, or determine treatment plans. The clinician remains fully responsible for your care and for reviewing, editing and approving all clinical notes before they are added to your medical record. There is no element of the AI programme influencing or advising the clinician’s thinking or decision-making process – Heidi Health is purely a note-taking tool, not a clinical assistance programme.

Why Are We Using Heidi Health and What are the Benefits?

  • More time for meaningful patient-clinician conversations: in automating the process of creating consultation notes, Heidi Health reduces the need for clinicians to spend time typing and documenting during appointments. This allows them to focus more fully on listening to patients and engaging in meaningful discussions about their health. As a result, consultations can feel more personal, communication can be improved, and clinicians can devote more attention to delivering high-quality patient care
  • Improved accuracy and completeness of clinical documentation: Heidi Health helps clinicians create detailed and accurate consultation notes by capturing information discussed during your appointment in real time. This reduces reliance on memory when documenting consultations and helps ensure that important clinical information is recorded correctly. As a result, medical records can be more complete and accurate, reducing the risk of errors or omissions.
  • Improve Administration and Time Efficiency: Heidi Health can assist with a range of administrative tasks following your consultation, such as drafting referral letters, completing forms, and generating clinical summaries. This makes our workflow more efficient allowing clinicians to focus more of their time on patient care.

Impact Assessment and Compliance

Before implementing Heidi Health AI, Thorpe Road Surgery carried out a comprehensive assessment of the software, including its functionality, data security measures, and suitability for use within the practice. A Data Protection Impact Assessment (DPIA) and a DCB0160 Clinical Risk Management assessment has been carried out. Heidi Health is compliant with NHS information governance, clinical safety, and data protection requirements.

Do You Store Recordings of My Appointment?

No. Conversations are transcribed in real time during your consultation and audio recordings are not routinely stored. The clinician reviews and approves the final version of the generated notes, and any information that is saved becomes part of your Electronic Health Record in the same way as standard consultation notes. 

Your Privacy, Choice and Consent – You Are in Control

Thorpe Road Surgery uses Heidi Health AI Scribe as a standard part of clinical consultations. Patients will be informed of this in their appointment confirmation message and through information available on our website and in the practice. Your privacy and confidentiality are extremely important to us. 

If you would prefer not to have Heidi Health AI Scribe used during your appointment, please let your clinician know at the start of the consultation. Your decision will be fully respected and will not affect the quality of care, treatment or service you receive in any way. Your clinician will continue to document your consultation using their usual methods.

Opting out applies only to the current consultation

If you do not wish Heidi Health AI Scribe to be used during future appointments, you will need to inform your clinician at the start of each consultation.
